E-Invoice : Thought For the Day


Many companies still perceive e-Invoicing as highly technical, which often pushes them toward adopting expensive third-party systems. Ironically, these systems are not always flawless and may still require manual corrections during submission.

In my case, I opted for a simpler and more practical approach for QHSEL Consultancy Sdn. Bhd. by developing an automated spreadsheet tailored to my current needs, using macros and basic VBA coding (the full code is too extensive to share here). Codings assigned to “Submit” and/or “Receive Payment” buttons, typically created by inserting a button and then assigning macros via right-click, or, for those familiar with earlier computing tools, through “Alt + F11”.

Coming from earlier systems like Lotus 1-2-3, I find Excel-based automation both manageable and increasingly flexible as I continue to relearn its capabilities. Given my constraints, investing in costly software or overhauling existing accounting systems was not a practical option.

What I have learned is that e-Invoicing does not necessarily require high-cost solutions (not that I mind if you/your company can afford it) For many SMEs, consultants, and small businesses, a well-designed spreadsheet can be sufficient, provided the workflow and required data fields are properly understood and correctly implemented.

Ultimately, the key is to keep the process simple and effective - understand the e-Invoice requirements, maintain clear and traceable records, minimise errors, and improve gradually in line with business needs. Digital transformation should support operations not burden them with unnecessary costs at the early stages of compliance.
